Make a Reservation

Reservations will be filled on a first-come basis and should be made a week in advance. Meetings will not be scheduled outside regular library hours without prior approval by the Library Director.  Children and Young Adults  may use the room only if one or more adults sponsors are present.  

Irregular & Regularly Scheduled Meetings

To insure the widest possible use of the meeting rooms, the library encourages irregular meetings. However, permission for regularly scheduled meetings on a monthly basis will be granted when possible. Permission for regular monthly meetings must be renewed semi-annually. Permission expires January 1st and July 1st each year. Renewal may not be made prior to a month before expiration date.

Closing Times

Closing time for meetings is 15 minutes before the scheduled library closing hours. Groups failing to vacate the room at the scheduled library closing time will be assessed an additional $30 per half hour. Fees will be waived for official city meetings scheduled in the room.

Library Programs Priority

The room has been provided to enlarge the library services offered to the community; therefore, library programs always have priority over any other use made of this facility. When not needed for library-centered programs, the room may be made available for limited community use.

Educational Programs

The use of the facilities will be available for programs and meetings to community groups and organizations whose aims are educational, cultural and/or for civic betterment. The meeting room may not be used for meetings which are commercial or social in their purpose or which further an individual’s goal. Other types of meetings may be approved at the discretion of the Director.

Permission Denial

Permission to use the meeting room will be denied to any group whose purpose is illegal, whose conduct would interfere with the work of the library because of noise or other factors, or for which satisfactory sponsorship is not provided.

No Advertising or Sales

Advertising or promotion of products or services and the sale of any item will not be permitted. No admission fee may be charged, donations solicited, or a collection taken at any meeting. Exceptions may be made in the case of library sponsored activities.

Non-Endorsement

Use of the meeting room does not constitute endorsement by the Roswell Public Library of points of view expressed by participants in the program.

Proper Conduct

In accepting the use of the room the person and/or organization making reservations will be held responsible for the proper conduct of those attending and for the expense caused by any damage, and all meetings must be in compliance with the Americans With Disabilities Act. The Library or its staff assumes no responsibility for any of the organization’s property that may be damaged. Furniture or equipment other than that furnished by the Library is not to be used without the Library Director’s approval. Library equipment available for use is listed on the application form. It is the responsibility of the group to pay for any damage to equipment, furniture or the room that occurs during their meeting.

Extra Service

When the use of the room requires extra service (custodial, watchman, special equipment, etc.) the expense will be borne by the user. The amount will be agreed upon in advance. In no case will any expense be accrued to the Library except with the Library Director’s written approval.

Seating Capacity

The seating capacity of the Bondurant Room is 150. 

Smoking and Vaping

There will be no smoking or vaping in the room or lobby, and all Fire Department regulations will be observed. 

Placing Items on the Wall

Nothing will be affixed to walls without prior written approval of the Library Director. 

Food and Refreshments

Light refreshments only will be allowed, with all leftover food taken home after the meeting. No dinners or alcoholic beverages may be served unless approved by the Library Board. Foods or beverages containing red dye will not be allowed due to the stains it may cause to furniture and carpet. Any spills must be reported immediately to the Circulation Desk.

Exhibits

If the room is used for exhibits, a member of the sponsoring group must be present at all times when the room is open.

Equipment Storage

The Library cannot store equipment or materials for any group, except when cleared in advance by the Library Director.

Group Parking

Groups are expected to use annex parking when attending meetings.

When the Meeting is Over

The group must notify Librarian in charge when meeting is over so that the Bondurant Room may be checked and locked.  We would also appreciate if the number of people who attended the event was provided.
